Docshield Inc. (“we”, “us”, or “our”) operates the Igloo platform (the “Service”). This Privacy Policy explains how we collect, use, and protect your information when you use our Service.

Information We Collect

Account information. When you create an account, we collect your name and email address via Google OAuth. We do not store your Google password.

Connected data sources. With your explicit authorization, we access data from services you connect, including Gmail messages and Google Calendar events. We only access the scopes you approve during the OAuth consent flow.

Usage data. We collect basic usage information such as pages visited, features used, and error logs to improve the Service.

How We Use Your Information

• To provide, maintain, and improve the Service
• To index and process your connected data sources into your personal knowledge base
• To enable AI-powered search and retrieval across your data
• To send you essential service communications

Data Storage & Security

Your data is stored on secure, encrypted infrastructure. We use industry-standard security measures to protect your information, including encryption in transit (TLS) and at rest. Access to your data is restricted to authorized personnel only.

Your connected data is processed to create vector embeddings for search. The original content and embeddings are stored in your private, isolated account space — they are never shared with or accessible to other users.

Third-Party Services

We use third-party services to operate the platform, including cloud infrastructure providers and AI model providers. These services process data on our behalf and are bound by their own privacy policies and our data processing agreements.

We do not sell your personal information to third parties.

Your Rights

You have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data and account
• Disconnect any connected data source at any time
• Revoke OAuth access through your Google Account settings

Data Retention

We retain your data for as long as your account is active. When you delete your account or disconnect a data source, we delete the associated data from our systems within 30 days.
